Job Purpose


– The front desk officer is responsible for providing secretarial, clerical and administrative support in order to ensure that municipal services are provided in an effective and efficient manner.


– Descriptions of Duties/Responsibilities


– Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.


– Collect, sort, distribute, or prepare mail, messages, or courier deliveries.


– Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.


– Promptly, accurately, professionally and courteously receives 100% of all telephone calls and visitors.


– Support in administrative tasks.


– Maage all cleanliness & non-clerical Staff.


– Schedule appointments and maintain and update appointment calendars.


– Receive payment and record receipts for services.


– Ensures knowledge of staff whereabouts and maintains accurate and complete sign -in/sign-out procedures for on-site staff.


– Perform duties, such as taking care of plants or straightening magazines to reception area.


– Process and prepare memos, correspondence, travel vouchers, or other documents.


– Keep a current record of staff members’ whereabouts and availability.


– Take orders for merchandise or materials and send them to the proper departments to be filled.


– Schedule space or equipment for special programs and prepare lists of participants.


– When on duty, ensures the reception station is staffed 100% of the time.


– Signs for deliveries when necessary and notifies recipients.


– Prints monthly report from postage system at the end of the last workday of the month and submits report to designated individual


– Maintain & monitor an adequate inventory of office supplies.


– Coordinate the repair and maintenance of office equipment.


– Assists in other duties as needed and directed.


Job Specifications (Qualifications)


Minimum Graduation


Knowledge & Competencies


Good communication skills computer literate


– Proficient command on English speaking, Listening & writing.


– Applicant will be preferred if trained for Microsoft Office.


– The candidate should be hard working and self -motivated.


 


Work Experience


1-3 years preferably front desk & customer services.
