Documentation and Communications Officer

PURPOSE OF POSITION:

To support Urban Programme Manager in documentation of project activities through effective reporting for better information management.

To facilitate the process of designing of IEC material for information dissemination on Citizen’s basic rights for their informed decision making for all Urban projects.

Ensure that the rights of vulnerable groups are appropriately presented through a number of communications products (stories, case studies, videos etc.) to donors, WV Support Offices and Partnership and through the various types of IEC material to the humanitarian communities and the government for attaining affirmative social change.

Major Activities:

Develops/writes advocacy/citizens’ rights based stories in order to reflect the impact for project related donor reporting as well as for wider dissemination through Communications department.

Facilitates UPM and team in gathering stories, in order to incorporate advocacy/citizens’ rights related issues for information dissemination.

Works closely with Project teams for gathering information lacking required at the community level and coordinates with them to collect the feedbacks from the target areas to monitor whether information has effectively been conveyed and utilised.

Works closely with Communications department to identify the mode of information collection and dissemination in the community.

Maintains record of the advocacy activities/programme(s), IEC/BCC materials’ soft and hard copies.

Keeps abreast with all the Advocacy Communications related events organised by other local NGOs and with their media strategies.

Assists in preparation of communications strategic plan and tools for the Urban programme.

Supports Communications department to prepare an overall local media plan and quarterly work plan for Urban office, to bolster WVP projects by ensuring World Vision Pakistan’s media profile in Urban programme is increased where appropriate, and organisational risk is minimised.

Works closely with Communications department to train designated media spokesperson for media interviews (as and when required) and to ensure media protocols are adhered by all staff and reports immediately to Communications Manager when contacted by any local media person or there comes any media query.

Prepares and edits press releases in close coordination with Communications department.

Assists Urban Programme Manager and team to prepare quarterly progress report, annual progress report, concept notes and other reporting requirements.

Works closely with UPM and M&E person/personnel to strengthen results management and reporting.

Ensures effective communications, visibility and knowledge management.

Supports programme staff in organising and managing the information regarding seminars, workshops, press conferences, high-profile donor meetings and/or stakeholders’ meetings.

Ensures proper documentation of the project activities and advocacy and communications’ activities.

Develops and maintains a database for the proper data management and customised reporting.

Travels to the target areas when necessary for information gathering/collection.

Takes on specific tasks as assigned by supervisor

Knowledge, Experience and Skills:

Master’s degree/University degree in any of the relevant fields, Mass Communication or social sciences

2-3 years proven experience in communications, documentation and data management

Experience in databases development and customised reporting

Proven work experience with INGO/NGOs

Demonstrates a high level of motivation and good communication, social, and interpersonal skills

Advocacy Communications.

Human Rights, relevant chapters of International Humanitarian Law, Refugee Law and the Convention of the Rights of the Child.

Very strong report writing skills and hands on experience of developing human interest stories

Importance of IEC material development on public interest issues.

All the relevant Graphic Designing related software and InPage Urdu.

Experience in drafting press releases, using different audio video gadgets for the coverage of events.

Understands and values diversity and maximises diversity to achieve organisational goals.

Ability to work effectively under pressure and maintains a positive work spirit.

Self-motivated, committed person will be preferred.

Strong  organizational skills and ability to work under pressure. 

Demonstrated capacity to function well in a team and contribute effectively to team efforts. 

Must be fluent in English and have strong written and oral communication skills. Knowledge of a local language would be appreciated.

Requires emotional maturity and ability to adjust to harsh living conditions.

Ability to identify advocacy opportunities.

Interest in human rights issues and social change.

Documentation & Reporting Officer

Purpose Of Position:

To facilitate the process of designing of IEC material for information dissemination on Citizen’s basic rights for their informed decision making.Ensure that the rights of vulnerable groups are appropriately presented through the various types of IEC material to the humanitarian communities and the government for attaining affirmative social change.

Major responsibilities:

Support AO (Material development) in the preparation of visual tools (for the communities/children) such as pamphlet, poster, banner, cartoons, animations, audio and video productions for awareness raising.Facilitate the development of various types of IEC material for different projects.Assist Area AO in preparing detailed implementation plan and reviewing on monthly basis.Travel to the target villages when necessary for information gathering / collection.Work closely with Advocacy Officers/Community Officers for gathering information lacking required at the community level and to coordinate with them to collect the feedbacks from the target villages (in area of Operation) to monitor whether information has effectively been conveyed and utilized.Develop advocacy based stories in order to reflect the impact.Maintaining record of the advocacy programme(s), IEC material’s soft and hard copies, PRFs and media outreach activities.Keeping abreast with all the Advocacy Communication related events organized by other NGOs and with their media strategies.Facilitate and arrange Advocacy events.Take on specific tasks as assigned by supervisor according to diversification and emerging special protection focus of program.

Skills and Knowledge

Requires knowledge of:

Importance of IEC material development on public interest issues.All the relevant Graphic Designing related software and In Page Urdu.Advocacy Communication.Human Rights, relevant chapters of International Humanitarian Law, Refugee Law and the Convention of the Rights of the Child.The instruments of law that apply in the particular environment of the program.The codes of conduct, the Humanitarian Charter and the Sphere Project.Policies of government for basic services.Requires detailed knowledge on Policies and their impacts.Requires strong skills of communication, negotiation, mediation and coordination, both verbal and written.Requires demonstrated well-developed knowledge and sensitivity of cross-cultural communication and dynamics.Demonstrated leadership ability.Strong organizational skills and ability to work under pressure.Demonstrated capacity to function well in a team and contribute effectively to team efforts. Must be fluent in English and have strong written and oral communication skills.  Knowledge of a local language would be highly regarded.Good interpersonal skills and cross-cultural sensitivity.Requires emotional maturity and ability to adjust to harsh living conditions.Ability to identify advocacy opportunities.Interest in human rights issues and social change.

Education & Experience:

Degree in Social Science.Experience of working as Advocacy officer and media outreach.

Requires proven experiences in development work.

Reporting and Documentation Officer

Relevant Experience:

• Graduate Degree • Demonstrated 3 years of overall experience and atleast 1 year of sector specific experience. • Excellent communication and inter-personal skills • Strong Computer and reporting skills. • Fluency in written and spoken English; knowledge of local dialects is highly desirable • Ability and willingness to travel and work in an insecure environment.

Job Description:

• Collects and formats inputs from Sindh for Situation Reports. • Assists in documentation and archival of Health program activities. • Develops Case Studies and assists in preparing communications material for Sindh. • Prepared mandatory donor reports for Sindh • Acts as focal point for media and communications activities for Health sector • Any other task assigned by supervisor.
