Purpose:

• Implement origin transport logistics processes with logistics service providers, carriers, adidas liaison office and factories in responsible origins for all products/shipments under the GOPS responsibility according to defined processes.
• Drive 3PLs’ performance at origin to enable an in-time and full delivery of the products to the adidas Group’s customers.

Key Responsibilities:

For Operations Excellence

• Take responsibility of origin logistics operations in responsible origins to ensure that the defined logistics standard operation procedures are followed by 3PLs, carriers and factories aiming to an in-time delivery of the goods.
• Support and execute BSL and GOPS initiatives and projects in responsible origins.
• Monitor and drive 3PLs performance towards defined KPIs for responsible origins. Within this role the Logistics Manager establishes continuous process/performance reviews with 3PLs to achieve the set 3PL KPIs for all specified origins and also to identify process improvements.
• Collaborate with LOs to establish KPIs monitoring on factories and seek continuous improvement impacting 3PLs’ performance.
• Drive, build up, and manage very good local business relationship with 3PLs and carriers in responsible origins
• Establish and maintain effective communication and collaboration channels between 3PLs, carriers, LO and factories in responsible sourcing origins.
• Be a local expert for the responsible origins to support sourcing and regional team. This also requires the establishment of being the focal point of contact for sourcing teams of responsible LOs and local 3PLs.
• The Logistics Manager has to ensure that logistics master data related to his/her specific origins are updated in respective global data bases in time and correctly. This master data will serve as a baseline for important system transactions for our global sourcing volume.
• Continuously seek for complexity reduction for origin logistics processes and align the corresponding global roll out with infrastructure team and other CoE-L Origin Operations colleagues.

Director of Operations

Position Summary:

The Director of Operations will manage project operations and ensure appropriate support of activities in three agencies. This will include the management of central officer operations, procurement, monitoring and evaluation, engineering and environmental compliance and human resources.  The position will ensure that operations staff provide appropriate support to agency staff in engineering, water, M&E and procurement. The Director of Operations will coordinate with the Sr. Coordinator for Private Sector Engagement, Sr. Medium and Small Business Advisor and Sr. Agriculture Advisor to support agency activities. 

Reporting & Supervision:

The Director of Operations reports to the Deputy Chief of Party and directly supervises the Sr. Engineer & Environmental Compliance Officer, Human Resources/Administration Manager, Sr. M&E Specialist and Procurement Officer.

Primary Responsibilities:

Provide management and oversight of project operations, including administration, logistics, procurement, property, human resources, engineering/environmental compliance, monitoring and evaluation to ensure effective and efficient operations.Ensure program implementation is in accordance with donor rules, regulations and procedures per specifications of the Agreement.Ensure that the most reasonable, fair, expeditious, and appropriate procurement choices are made pursuant to the Contractor’s Procurement and Operations Guide.Provide operations support to project activities and sub-awards to meet goals, timelines, and deliverables.Work and coordinate with program, finance, communications, and grant teams to facilitate and implement project activities.Provide strategic guidance and leadership to operationalize project activities.Process all requirements for expatriate staff to work in Pakistan, including visa documentation, living quarters/housing, logistics, and security arrangements.Mentor and facilitate the development of local operations staff to assume increasing roles and responsibilities.Manage field presence, including facilities such as office space, equipment and project vehicles, administration, management information systems (MIS), logistics, and procurement.Ensure grant information is communicated to operations team to facilitate procurement, logistics, and deliverables per activity.Investigate and identify new ways of achieving project efficiencies.Lead and organize workshops/trainings on procurement, rules and regulations, Federal Acquisitions Rules and Regulations (FAR), management, grants, and security.Liaise with security team to ensure internal procedures are updated.Provide leadership and mentor the team with planning, staffing, recruitment, evaluation of policies and support staff in a variety of technical disciplines. Serve as a link between management and employees by handling questions, interpreting and administering contracts and helping resolve work-related problems.Plan, direct, supervise, and coordinate work activities of subordinates and staff relating to employment, compensation, labor regulations and employee relations.Coordinate with headquarters HR team for employment related matters.Liaise with headquarters regularly on program/operational issues.

Physical Demands:

While performing the duties of this job, the employee may occasionally be required to lift and/or move up to 20-25 pounds.

Required Skills & Qualifications:

University degree required; advanced degree preferred in logistics, administration or related field, with demonstrated experience in logistics and administration in Pakistan or similar context;Minimum 7 years of experience working with an international NGO in the areas of operations and logistics, and ability to work to deadlines in challenging environments;Comprehensive knowledge of operations and logistics systems and procedures;Excellent teamwork skills including abilities to coordinate well with diverse individuals and teams and to negotiate effectively with colleagues and stakeholders to achieve results;Previous experience working on international donor-funded programs preferred;Strong communication skills, both verbal and written;Fluency in English and local languages required.

Short term Operations Assistant

Project Description

USAID is a development partner to the Government of Sindh and is currently supporting the Department of Education and Literacy with implementation of the Sindh Basic Education Program (SBEP) in Districts Sukkur, Khairpur, Larkana, Qambar-Shahdadkot, Jacobabad, Kashmore, Dadu and selected towns of Karachi city. The overarching goal of SBEP is “Increased and Sustained Student Enrollment in Primary, Middle and Secondary Schools in targeted geographical locations in Sindh.” The Sindh Reading Program (SRP) is a five-year initiative in the same geographic areas of the parent SBEP. SRP will support the SBEP goal based on lessons learned from USAID and the Government of Sindh’s legacy of early grade teaching and learning.

Over the life of project, SRP aims to:

Improve teacher competencies for effective early grade reading and mathematics instruction;Improve early grade reading and mathematics assessment practice;Improve student access to supplementary reading and mathematics material;Enhance participation of parents and caregivers in support of early grade literacy and early grade numeracy for out of school children.

Position Objective:

The Short term Operations Assistant is responsible for performing the following tasks as directed by the supervisor for this position:

Assist the Office Manager in making arrangements and processing of all the logistics pertaining to employee/consultants/visitors traveling, meetings and other events.Assist the Office Manager in following up on maintenance/servicing of office equipment.Assist the Office Manager to ensure the provision of monthly supplies of expendable materials such as stationery, kitchen as well as cleaning supplies at office and the guest house.Provide secretarial, word-processing, spread-sheeting, faxing, filing and other administrative assistance.Assist the Office Manager to ensure that complete project documentation is maintained in both hard copy and soft copy form as per standard compliance policies of Chemonics.Perform all other duties that may be assigned by the supervisor.Develop, maintain and monitor all billings and receipts for the recording of all transactions.Track invoices and follow up on payments with finance department. Ensure completion of all necessary documents needed to process the invoices ensuring compliance with all the policies & procedures.Assist the office manager in inventory management and ensure branding and marking of all the equipment and in-house assets to ensure compliance with USAID rules/ policy.Assist in management of lease agreements of all the regional offices and residences for timely rent payments, required extensions and maintenance to ensure compliance with lease agreements and contracts.Assist the office manager to screen and review Purchas Action Request forms.Communicate effectively & professionally with staff as well as with vendors.Monitor, maintain and update the File Index as per Chemonics guidelines.Ensure and supervise timely update and maintenance of trackers and other working documents on the share drive for everybody's easy access. Assist the office manager to ensure that hotel reservation, travel arrangements are completed.

 Qualifications:

Bachelor's degree in Economics, Business, Accounting or a related field is required.Previous experience of event management and logistics preferred.  Flexibility, creativity, and the ability to maintain a rapid and demanding pace of work.Fluency in both English and Urdu required; other Pakistani languages preferred.Excellent communication skills.Strong moral code of ethics.Detail oriented and ability to accurately document auditable files.

Job Description:

The Operations Team requires the services of an Intern on a full-time basis to assist in their inventory-related activities. The Intern will provide support and assistance to the Operations Team members handling the project inventory in the project’s Lahore office. Information Technology:

 Master degree, 3 years of relevant experience in logistics, procurement, administration and communication skills.

Job Description:

Admin/Logistics Tasks:

? Prepare daily and/or weekly vehicle schedule for both Field trip and Office.
? Ensure vehicle log books are maintained and review on weekly basis to ensure official vehicle is used only for official business.
? Prepare a vehicle equipment check list and ensure all the tools, first aid box, spare tire, tow rope etc as required and maintain project vehicles road worthy.
? Check and ensure all the vehicle related documents are available as required by the agency and government of Pakistan including security clearance certificate, accident report form, contact numbers for security coordinator, traffic/police office, hospitals.
? Prepare monthly fuel consumption report, vehicle repair and maintenance report, drivers’ overtime and submit to the supervisor with an analysis sheet.
? Arrange vehicles or transportation for project materials, supplies and equipment including medical supplies from/to Mipurkhas and Islamabad and coordinate with operations department in Islamabad.
? Prepare fuel costs summary and coordinate with finance to settle or payment of monthly fuel bills.
? Obtain/Prepare vehicles repair and maintenance request and submit through supervisor with all required supporting documents and justifications.
? Maintain all offices inventory items, equipments and assets


Procurement Tasks:

? Perform all procurement related activities for example, quotations, comparative statements, Local purchase order ,Good received note etc,
? Make sure all the payments are processed on time.
? Making sure all the procedures are followed for the procurement.
? Performing all out of office tasks such as collecting quotations, collecting materials, samples etc.
? Updating the vendor list and keeping good relationship with vendor.
? Maintain procurement related files.
? Make sure all the BHUs remain functional. This includes repair and maintenance of damages in timely manner.
? Continuous field visits to ensure smooth running of health centers.

Other Tasks:

? Follow up with Country office for any operation and program related issues.
? Maintain good coordination between Mirpukhas and country office.
? Perform the tasks assigned by supervisor or next level of supervisor as required.
