Warehouse Officer Bannu

Main Role & Responsibilities of warehouse officer:

Carry out tasks within guidelines laid down by managers / supervisor.Tasks are usually routine but will require the use of initiative and/or basic planning.May be responsible for supervising one or more support staff, including basic planning of day to day work.Required to gather and give information to supervisors, managers.Contributes to improvements in processes. Ensure that all goods are stored and packed safely and securely.Ensure that stock levels are recorded correctly on bin cards.Check deliveries of goods for quality and quantity, and record details on goods received forms.Organize the manual loading and unloading of vehicles when necessary.Compile regular stock reports and stock reconciliations, and ensure that discrepancies in stock levels are reported to the line manager.Providing support and information on areas of work covered in their remit.Implements RI Policies to manage warehouse.Day to day planning in line with departmental priorities.Ensure proper management of warehouse including security and maintenance of warehouse inventory system including regular reporting of inventory.Establish and maintain good contacts with suppliers and other organisations. Perform any other job related duties as assigned by the warehouse logistician.

SKILLS AND COMPETENCE:

Bachelors with good knowledge and experience of warehousing, including basic administration.Good written and spoken English.Ability to keep clear and concise records.Preferably 2 years experience of warehousingEffective communication Skills.Effective negotiation skills.Commitment to issues of gender, diversity.Computer skills will be required.Ability and willingness to travel and work in remote areas.

Job Description:

PURPOSE OF POSITION:

To ensure proper and safe custody (storage) of all food and NFI  commodities entrusted to WV by donors. This could be implemented through overseeing all aspects of warehouse operations such as commodity transactions in the warehouse, including receipt, storage and delivery of all commodities as well as staff management.

Major Responsibilities:

Warehouse Commodity Management :ensure that all commodities entrusted to World Vision arriving at the warehouse and leaving the warehouse are properly accounted for.Logistics: ensure that proper logistic arrangements are always in place so that projects will run smoothly without avoidable commodity stock shortages in the warehouseMaintain Warehouse standards :ensure that warehouse best practices, standards are maintained at all times as guided by WV Commodity manual standards this includes but not limited to maintaining  FIFO instead of LIFO unless there is reasonable grounds, proper stacking, adequate warehouse equipment etcRecord Keeping :Responsible to ensure that all the warehouse records including Ledger books, stack cards and stock control sheets are accurately filled and updated.  Quantities recorded on these documents MUST correspond to the daily physical stock in the warehouse.Coordination: establish and maintain proper logistics coordination with WFP, USAID, FAO other donors’ logistics departmentsReporting: provide required periodic warehouse reports( daily ,weekly, monthly, quarterly and annual report)Commodity Loss Management :develops zero tolerance loss of commodities in the warehouse.Warehouse Staff Management :establish professional systems of managing warehouse staff and casual staff in the warehouse.

Preferred Skills, Knowledge and Experience:

Warehouse Officer

Job Description • Ensure that the warehouse is kept clean at all times. • Ensure that the damaged and suspected commodities are segregated from good ones and reported upon detection. • Ensure that the broken containers are immediately reconstituted, weighed and re-bagged properly. • Conduct daily inspections of the condition of the warehouse and surrounding security features. Request and ensure immediate repair of any defects detected during the daily inspection. • Ensure that commodity dispatches are based on pre-approved dispatch authorization memos from the Program Manager. • Maintain up to date assets stock ledger in which all daily inventories and transactions are accurately recorded. • Maintain proper filing system and prepare full handover report when leaving the warehouse. • Ensure that security guards assigned to his/her warehouse report to duty on the established routine schedules and remain vigilant while on duty • Ensure that warehouse assistant are trained in proper warehouse practices and conform to SC asset management policies and procedure • Ensure that ports/laborers handle commodities carefully to minimize losses. • Prepare and submit to the main office all necessary reports as per field office policies and procedures Requirements • Graduation. • Demonstrated 2 to 3 years of overall experience; and a minimum of 1 year specific development sector experience. • Excellent computer literacy • Excellent warehouse management and inventory control skills • Good oral and written communication skills • Excellent interpersonal skills • Good team management skills. • Demonstrated ability to work in insecure environments
