Pakistan: Memberships and Partnership Coordinator


Background:


The Pakistan Humanitarian Forum (PHF) is a forum of international humanitarian organisations in Pakistan. Its purpose is to enhance the coordination, information exchange and collective voice of INGOs operating in Pakistan to enable them to address the humanitarian, recovery and sustainable development needs of the country effectively and efficiently.


Main Responsibilities


The Membership and Partnership Manager reports to the Policy and Communications Advisor and works within the advocacy, information, communication, coordination and partnership team. The post leads on membership and partnership coordination and management and proactively builds relationships with key external stakeholders including the National Humanitarian Network.


Information Management


· Internal member meetings: Following SOPs, coordinate and disseminate information for the monthly General Members Meeting (GMM) and Access working Group (AWG) including preparing the agenda, timely minute taking, attendance and presentation of information and as needs arise related adhoc topical coordination e.g. Emergency Response, INGO Registration, CDA notifications etc.


· Lead on strengthening engagement with PHF members


· Manage the induction of new members and the ‘Approval of Membership’ process.


· Lead on the drafting, updating and dissemination of external communications e.g. briefings, letters, talking points, ‘What is PHF Pack’, PHF Members and Partners Directory.


· Manage an incidents database relating to humanitarian access and INGO work in Pakistan.


· Lead on planning and coordination for monthly Members Networking sessions.


· Manage received information, reports and documents through shared drive filing as per PHF data protection policy and PHF Style Guide.


· Continually update a contact list of key stakeholders e.g. Government, Donors, UN, Private Sector.


· Manage the annual PHF Executive Committee Elections process following SOPs.


External Stakeholder Engagement


· Overall responsibility for planning and delivery of external PHF events including annual networking lunch, provincial and federal level events.


· Support the Policy and Commination’s Advisor and Country Coordinator in planning and coordinating external stakeholder meetings e.g. Government, UN, Donors


· Lead on strengthening links with the National Humanitarian Network


· Represent PHF at external Coordination meetings (National Humanitarian Network, Government , media , Donors, UN, NNGOS)


Reporting


· Maintain records of stakeholder engagement and draft monthly PHF monitoring requirements report.


Other


· Perform other duties, as necessary and/or as requested.


· Represent PHF positively and professionally in both internal and external relations and situations.


Person Specifications:


Education


· Master’s degree in Development Studies, Information Management, Disaster Management, Communications or other relevant field. A Bachelor degree with extensive relevant experience may be accepted.


Experience


· At least 4-6 years working with an NGO or International Organisations, with 3-5 years in a directly related management/ coordination position.


Skills Required


  • Knowledge and understanding of the international humanitarian/development system and the mandates of the actors involved and the context in Pakistan.

  • Understanding and commitment to humanitarian principles and practical awareness of supporting principled approaches in practice.

  • Proven experience in information management, analysis and development of information products to support coordination between actors.

  • Excellent written and spoken English.

  • Listens and correctly interprets messages and responds appropriately and tailors language, tone and style to match the audience.

  • Excellent command of word, excel and PowerPoint, outlook.

  • Proven ability in networking and relationship building.

  • A strong awareness of confidentiality and data protection issues.

  • Ability to multi-task and manage competing workloads whist delivering to deadlines in a high delivery environment.

  • Foresees risks and manages through planning and adjustment of plans as necessary.

  • Ability to handle and support resolution of complex operational and information issues.

  • Proven expertise in taking initiative and proactive independent working.
